Privacy Policy
Effective date: October 15, 2026
This policy explains what information BloomCare collects, how we use it and the choices you have. BloomCare is operated by BloomCare System LLC ("we", "us"), a Texas company.
Who this covers
BloomCare is used by child care centers and sponsoring organizations (our "customers"). Customers enter information about the children and families they serve. For that information we act on our customer's behalf and follow their instructions. Families with questions about their records should contact their center first; we will help the center respond.
Information we collect
- Account information: names, work email addresses, phone numbers and roles of the people who sign in.
- Customer records: information customers enter or collect through BloomCare, such as enrollment and income eligibility forms, household members, attendance, meal counts, signatures and claims.
- Billing information: plan, invoices and payment status. Card payments are processed by Stripe, which is certified to PCI DSS Level 1; we never see or store full card numbers.
- Technical information: log data such as IP address, browser type, pages used and error reports, used to run and secure the service.
How we use information
- To provide, maintain and support BloomCare.
- To produce the forms, reports and claims our customers request.
- To send service messages, such as sign-in emails and signing links.
- To bill for subscriptions.
- To keep the service secure and to meet legal obligations.
We do not sell personal information, and we do not use customer records for advertising.
Children's information
BloomCare is not directed to children and children do not use it. Information about children is entered by centers, sponsors or parents for program administration and is used only to provide the service to that customer.
Sharing
We share information only:
- with service providers that help us run BloomCare (such as cloud hosting, email delivery and payment processing by Stripe), under contracts that limit their use of it;
- within a customer's own organization, such as between a center and its sponsor, as the customer sets up;
- when required by law, or to protect the rights and safety of our customers, users or the public;
- with a successor if our business is sold or merged, under the same protections.
Security
Data is encrypted in transit, access is limited by role, and signed forms are stored in access-controlled storage. No system is perfectly secure; we will notify affected customers of a breach as the law requires.
Retention
We keep customer records for as long as the customer's account is active and as needed to meet program record-keeping rules. After an account ends, records are deleted or returned within 90 days unless the law requires us to keep them longer.
Your choices
You can ask to see, correct or delete your account information by emailing support@bloomcare.com. Requests about records a center holds go to that center. Depending on where you live, you may have additional rights under state law; we will honor them.
Website pricing form
If you use the pricing form on bloomcare.com, we receive your name, email address, center or sponsor name, phone number and message. The form is delivered to us by our form provider, and we use it only to reply to you.
Cookies
BloomCare uses cookies needed to sign in and to remember settings such as language and light or dark mode. We do not use advertising cookies.
Changes
We will post any change on this page with a new effective date, and tell customers by email of significant changes.
